Accounting settlements with Xero and QuickBooks

The Accounting page turns marketplace payouts into balanced settlement journals. It separates the money customers paid from refunds, selling fees, promoted listings, postage labels and other charges, so the amount deposited in your bank can be reconciled cleanly.

Open Accounting

  1. Open Dashboard in FLUF Connect.
  2. Select Accounting.
  3. Choose a date range and, if needed, one store.
  4. Select Apply.

For eBay, select Refresh eBay payouts to retrieve the latest deposits. Other connected marketplaces are summarised from the orders FLUF has recorded.

Connect Xero

  1. Select Connect to Xero.
  2. Sign in and approve access.
  3. If your login has more than one organisation, choose the organisation you want to use.
  4. Open Accounts and choose where sales, fees, refunds and bank deposits should be posted.
  5. Select Send to Xero.

You can choose whether Xero journals are posted immediately or saved as drafts for review.

Connect QuickBooks Online

  1. Select Connect to QuickBooks.
  2. Sign in, choose your company and approve access.
  3. Open Accounts. Start typing an account name and choose the matching QuickBooks account from the suggestions.
  4. Save your account choices.
  5. Select Send to QuickBooks.

QuickBooks receives a balanced journal entry for each settlement.

Avoiding duplicates

FLUF remembers each settlement sent to Xero or QuickBooks. Sending the same date range again skips journal entries that are already there.

CSV exports

Use Export when you prefer to review or import a file manually:

  • CSV — one row per payout gives your accountant a settlement summary.
  • CSV — with every transaction adds the underlying detail.
  • Xero manual journal creates Xero's journal-import format.
  • QuickBooks journal entries creates QuickBooks Online's journal-import format.

Estimated settlements

A row marked From orders is an estimate built from the orders FLUF recorded because that marketplace does not provide a full payout breakdown. It includes known sales, postage, refunds and order fees, but may not include charges made outside an order.

Before filing accounts or tax returns, review estimated rows against the marketplace statement or ask your accountant to check them.
